THE WORK AROUND THE VISIT

Less chasing.
More clarity.

Plan with context

Keep the purpose, students, dates and attending team connected from the first request.

Keep reviews moving

See which stage needs attention and who is responsible for the next decision.

See cover impact early

Understand the staffing implications while the trip is being planned, not after approval.

Follow your own process

Shape approval stages and responsible roles around the way your school works.

First trip-planning step with destination, description, category and year-group fields.

The experience step captures the purpose, destination and students taking part before dates and staffing.

01 / A CLEAR START

A considered request.
Not another email chain.

Start with what the visit is for, where it is going and who will take part. The guided request separates the experience, dates and team, and review into clear steps.

  • Capture destination, purpose, category and year groups together.
  • Bring dates and attending staff into the same request.
  • Review the details before submitting them into the approval process.

02 / STAFFING, IN CONTEXT

Change the team.
See the cover implications.

Taking staff out of school affects the timetable back at school. The cover forecast makes that part of the planning conversation, before a request reaches final approval.

Step through the same trip request as Sophie Reed, Amelia Grant and James Bennett are added in turn. Watch the attending-staff field and the additional lessons requiring cover change together.

On a small screen, scroll within the image or open the full-size view.

Current user included, no additional staff selected; the captured cover forecast appears below the staff selection.
Step 1 of 4. Only the current user is included. Compare the attending-staff field with the Additional column below. Open full-size image (opens a new tab)
Sophie Reed is added to the same request and the cover-by-period figures change.
Step 2 of 4. Sophie Reed is added. The same trip now shows the cover implications of another attending colleague. Open full-size image (opens a new tab)
Sophie Reed and Amelia Grant selected; the same trip cover forecast recalculates.
Step 3 of 4. Amelia Grant joins Sophie Reed. The period-by-period forecast updates with the team selection. Open full-size image (opens a new tab)
Sophie Reed, Amelia Grant and James Bennett selected; the cover forecast changes again.
Step 4 of 4. James Bennett is added. Three additional colleagues are now selected alongside the current user. Open full-size image (opens a new tab)

Timetable-aware by design. The forecast uses timetable data synchronised from the school's MIS, with existing absence and cover information used where available. It connects the people attending the visit with the lessons that need cover back at school.

Decision comments, Approve and Reject controls, and five approval stages with their current statuses.

Record decisions and comments, and follow progress through each approval stage.

03 / ACCOUNTABLE DECISIONS

The next decision.
Clearly in view.

Authorised staff can review a request, record comments and approve or reject it. The stage overview distinguishes completed decisions from the review that needs attention now.

  • Keep decision comments alongside the request.
  • See progress through line manager, cover, coordinator and preparation stages.
  • Keep approval history with the trip record, rather than scattered across inboxes.
University discovery day details with dates, year group, estimated cost, attending staff and cover impact.

Trip details bring the request, staffing, preparation status and cover context together.

04 / ONE SHARED RECORD

The details people need.
In one place.

Dates, students, estimated costs, attending staff and cover impact sit together in the trip details view. Staff can review the operational context without piecing it together from separate messages and spreadsheets.

  • Keep the purpose and practical details connected.
  • Make the trip leader and accompanying staff visible.
  • See the current preparation status alongside the cover summary.

CONNECTED SCHOOL WORKFLOWS

The wider workflow.
Working together.

Requests, documents, decisions and preparation are connected within the completed application. The same bespoke approach can bring together the processes and systems your school relies on.

Risk assessment documents

Upload risk assessments, review documents and manage rejection and resubmission alongside the trip record.

Final checklist workflow

Track preparation checks, responsibilities and completion before a visit is ready to go.

MIS-backed staffing and timetables

Use synchronised staff-directory and timetable data to connect attending staff with cover requirements, including existing absence and cover information where available.

Trip records and approval history

Keep practical details, responsibilities, comments and approval decisions together in a shared trip record.

School-managed approval configuration

Choose required approval stages and assign the people responsible without redevelopment for routine process changes.

Potential bespoke integrations

Academia or other calendar synchronisation could form part of a separate bespoke solution, shaped around your systems and the access available.

FAMILIAR FOUNDATIONS

Make more of your
Microsoft 365.

The starting point is the Microsoft 365 environment your school already uses, with Power Apps, Power Automate and SharePoint where your existing education subscription and requirements allow.

We check the exact licences, users, connectors and MIS access before proposing delivery. Some integrations or features may require additional licences or services; any extra requirements and costs are made clear upfront.

Every school has different workflows, MIS arrangements, approval structures and administrative requirements. We start by understanding those differences, then develop suitable software rather than asking you to adopt an identical system.
